Should I outsource bidding or hire an estimator?

The detail

An estimator is the right answer when plans already arrive faster than you can price them. If your inbox is not full of qualified invitations, adding a pricing seat does not fix the pipeline — it just prices whatever happens to show up.

A bid department attacks the front of the funnel first: sourcing public, private, and negotiated opportunities that match your trade, license, bonding, and radius, then filtering hard so you only price work worth pursuing.

The cost structures differ too. A hire is a fixed payroll obligation with benefits, taxes, tools, and turnover exposure. A managed department is a flat monthly engagement that can be scaled or ended, with no recruiting or ramp cycle.

  • Choose an estimator if: consistent invitations, in-house pursuit process already exists.
  • Choose a bid department if: pipeline is thin, bids are late, follow-up never happens.
  • Choose both if: you win enough that pricing volume becomes the constraint.

What does an in-house estimator cost?+

Beyond base salary, budget benefits, payroll taxes, estimating and takeoff software, plan room subscriptions, and the recruiting cost of replacing the role when they leave.

Can an outsourced team price my work accurately?+

Pricing stays with the contractor. The department builds and coordinates the estimate; the contractor approves the number before anything is submitted.
